Checking Polish tax refund status on Twój e-PIT website

If you filed a tax return in Poland and expect a refund, you can track it entirely online without visiting the tax office. The key tool is Twój e-PIT, available at podatki.gov.pl. This guide explains exactly how to log in, read the status, estimate the payout date, and take action if the money is late.

What You Need Before Logging In

To access Twój e-PIT, you must authenticate with one of three methods: a trusted profile (Profil Zaufany) valid for at least 30 days, online banking from one of the 15 banks connected to the National Identity Node (e.g., PKO BP, Pekao SA, ING Bank Śląski, mBank), or the mObywatel app with a personal signature enabled.

The fastest method is online banking – it redirects you directly without extra passwords. If you use a trusted profile, note that since May 2025, each login to tax services requires SMS confirmation. Have your phone ready.

Step 1: Log In and Select the Correct Tax Year

After logging into Twój e-PIT, you will see a dashboard listing all declarations filed through the system. Click the “Rozliczenia” (Settlements) tab and select the year you want to check. The system defaults to the most recent tax season, but if you are waiting for a 2024 refund, switch to “Poprzednie rozliczenia” (Previous settlements).

The most important thing here is to note whether the status says “Złożona” (Submitted) or “Przetworzona” (Processed). “Submitted” means the tax office has received your return but has not reviewed it yet. “Processed” means the review is complete and the refund should be issued soon.

Step 2: Understanding the Status Table

Once you select a year, a detailed view appears. At the top of the screen, you will see a status bar. The table below explains each status and what it means for you.

Status on Twój e-PIT What Happens at the Tax Office What It Means for You
Złożony (Submitted) The return is in the system but not yet reviewed. No action needed yet. Expect the review to start within a few days.
W trakcie weryfikacji (Under verification) A tax officer is checking the data, deductions, and credits. This typically takes 7–14 days. You may be contacted if documents are missing.
Przetworzony / Zatwierdzony (Processed / Approved) The return is verified and approved. The refund is queued for payment. Money should arrive within 14–21 days from this date.
Zrealizowany (Completed) The transfer order has been issued. The money has been sent to your bank account or as a postal order. Allow 1–2 business days for the bank to process it.
Wstrzymany (Held) The tax office has paused the refund. Check the “Dokumenty” (Documents) tab for any requests for correction. Common reasons: wrong bank account number or missing attachments.

If you see “Held”, do not panic. Often you just need to update your bank account number in your profile on podatki.gov.pl. The system will then automatically resume the process.

Step 3: How to Estimate the Payout Date

Twój e-PIT does not show an exact payment date, but you can calculate it. For electronically filed returns, the tax office has 45 days from the date of submission to issue the refund. In practice, most refunds are paid within 14–21 days after the status changes to “Processed”.

To find your approximate date, note the day the status became “Processed”. Add 21 days – that is the likely arrival date. If 30 days have passed since “Processed” and the status has not changed to “Completed”, contact your tax office.

Step 4: What to Do If the Refund Is Delayed or Missing

If the legal deadline (45 days for e-filed, 3 months for paper) has passed and the status has not changed to “Completed”, take the following steps:

Check your bank account number in your profile on podatki.gov.pl. An incorrect account is the most common cause of delay.
2. Go to the “Korespondencja” (Correspondence) tab – the tax office may have sent a letter asking for corrections or missing documents.
3. Call your local tax office – find the number on podatki.gov.pl by entering your municipality. Best time to call is between 9:00 and 12:00.
4. Submit an inquiry via e-Urząd Skarbowy – this is the electronic channel that lets you track responses in the same portal.

Remember that the tax office can hold the refund if you claimed a deduction (e.g., rehabilitation expenses or child tax credit) without attaching the required proof. In that case, you must file a correction or provide the missing documents.

Practical Checklist: What to Do Right Now

Use this checklist to track your refund and take action if needed:

  • [ ] Log into Twój e-PIT at podatki.gov.pl.
  • [ ] Check the status of your return for the relevant year.
  • [ ] If status is “Submitted” – wait 7–14 days, then check again.
  • [ ] If status is “Under verification” – wait for it to change to “Processed”.
  • [ ] If status is “Processed” – note the date and add 21 days.
  • [ ] If status is “Completed” – check your bank account after 2 business days.
  • [ ] If status is “Held” – check the Documents tab and correct any errors.
  • [ ] If 45 days have passed since submission and status is not “Completed” – contact your tax office using the steps above.

Limitations of the Twój e-PIT System

The system does not update in real time. Status changes are usually reflected within one business day after the tax office processes the return. If you check in the morning and see “Submitted”, but the officer approves it in the afternoon, you will not see the update until the next day.

Also, “Completed” does not mean the money is immediately in your account. Banks typically process government transfers within 1–2 business days. If you see “Completed” for three days and the money is still missing, contact your bank to check if it was blocked by anti-fraud systems.

What to Avoid When Checking the Status

Never enter your login credentials on any website that is not the official podatki.gov.pl. Scammers often create fake login pages that look like Twój e-PIT to steal your personal data. Always verify the URL starts with https://www.podatki.gov.pl.

Avoid refreshing the page repeatedly within a short time – the system may block your account for 15 minutes as a security measure. If the status does not change, wait 24 hours before checking again.

By following this guide, you can track your Polish tax refund efficiently and take the right steps if anything goes wrong. Most refunds arrive within three weeks of the return being processed. Use the checklist above to stay on top of the process.
